Overview
We are seeking an Operations Manager to oversee the day-to-day operations of our Litigation team. You will be responsible for managing a team of 35 attorneys and Paralegals across multiple states and ensuring the smooth and efficient functioning of our multi-office, multi-state firm.
Responsibilities:
Leadership and Management:
- Develop and implement systems for monitoring, tracking, and executing operational strategies to improve efficiency and ensure consistent performance across all locations.
- Provide strong leadership and guidance to a diverse team of 75+ professionals, fostering a positive, collaborative, and results-driven work environment.
- Oversee the daily operations of our offices, ensuring workflows are efficient, productivity is optimized, and internal policies and procedures are followed.
- Conduct regular performance evaluations, offer constructive feedback, and identify opportunities for professional development across the team.
- Coordinate with other departments to promote collaboration and ensure alignment on overall business goals.
- Guide and mentor operational staff, including paralegals, to ensure successful execution of objectives and continued development of skills.
Operational Strategy and Oversight:
- Lead efforts to develop and optimize operational strategies for the litigation department, ensuring timely and cost-effective case management.
- Analyze and review operational processes, ensuring quality, accuracy, and compliance across all aspects of litigation management.
- Track and analyze key performance indicators (KPIs), identify trends, and implement process improvements based on data-driven insights.
- Stay current with industry best practices and technological advancements, implementing innovations that improve departmental operations.
Client Relationship Management:
- Build and maintain strong relationships with clients by ensuring their needs are met and expectations are exceeded throughout the litigation process.
- Act as the primary point of contact for clients, addressing concerns, providing regular updates, and ensuring that all operational aspects of case management run smoothly.
- Collaborate with teams to develop client-centered approaches that ensure efficiency, transparency, and the best possible outcomes.
Firm Development and Growth:
- Work with senior leadership to strategize and implement growth initiatives within the litigation department and firm-wide operations.
- Identify and evaluate opportunities to improve operational efficiencies and create innovative solutions to streamline workflows.
- Participate in firm marketing and networking efforts to enhance the company’s reputation and expand our client base, ensuring alignment with operational goals.
Requirements:
- Proven experience in managing and leading large teams, ideally within a law firm or other professional services environment.
- Strong background in operational management, including process improvement, workflow optimization, and resource allocation.
- Demonstrated ability to analyze complex data, make informed decisions, and drive strategic change.
- Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with a focus on building strong relationships with internal teams and clients.
- High proficiency in technology and reporting tools to track performance and drive operational success. Experience with Salesforce is required.
